Position Requirements:

~Provide support to advance the vision and mission of St. Andrew UMC.

~Utilize organizational, interpersonal and problem- solving skills to fulfill job duties.

~Work cooperatively to maintain open communication and facilitate team effort among the pastor, staff, and SPRC.

~Maintain confidentiality regarding private information revealed within the team or while performing office duties.

~Strong written and interpersonal communication skills.

~Practiced administrative skills and the ability to prioritize and complete multiple tasks.

~Ability to represent St. Andrew with a welcoming manner to the public, and within the church community, in person, by phone, and when routing messages.

~Demonstrated computer skills and technical proficiency, including proficiency with Microsoft Office, Microsoft Publisher and EXCEL.

~Willingness to update computer and technical skills as required, including the use of church software.

~Must be able to work closely with the Pastor, the Music Director, the Trustees, and other church leaders.

~Previous experience as a church administrative assistant is a plus.

Weekly Responsibilities:

~Prepare Sunday Bulletin, inserts and prayer cards working with input from the Pastor, Music Director, and worship committee.

~Prepare weekly announcements for email and print using input from the congregation and Pastor.

~Record worship attendance.

~Order altar flowers, when request is submitted.

Overall Responsibilities:

~Manage reception duties including:

*greet members and visitors;

*answer the phone in a courteous and professional manner;

*maintain a current phone greeting, and screen and route messages as needed.

~Coordinate group and individual email/text communications, as needed.

~Maintain inventory and stocking of office supplies.

~Review and distribute mail and e-mail.

~Contact mail recipients regarding time sensitive matters.

~Maintain list of pastoral care requests and recipients.

~Prepare church and committee mailings as requested.

~Coordinate with Pastor, committees and other relevant parties, to produce the Voice, the monthly newsletter.

~Maintain a current Church Directory, including email addresses.

~Refer written materials from church committees to communications committee for final review, in keeping with established committee guidelines.

~Maintain appropriate and current online presence, as required.

~Complete special projects as required.

~Manage building use schedule with the assistance of the trustees and maintain related building use forms.

~Monitor condition of all office equipment.

~Update bulletin boards and information kiosk as needed.

Further Details:

Please note that the Administrative Assistant reports to the Staff Parish Relations Committee. SPRC will provide support to the AA; act as liaison between AA and others at St. Andrew in the event of concerns regarding job requirements, and conduct the annual position review.

Salary is commensurate with experience. Five days a week, 20 to 25 hours per week.
